What to Expect at the 2026 HARC AGM

Last Updated: October 13, 2026By

The Hamilton Amateur Radio Club will hold its 2026 Annual and Special Meeting of Members on Thursday, October 22, 2026 at 7:30 PM. For members who have never attended an AGM before, the words “Annual Meeting” can sound a little formal. In practice, it is simply one of the most important opportunities of the year for members to hear how the club is doing and help shape where it goes next.

What Happens at the AGM?

The AGM handles the club business that must be completed each year. Members will hear reports about the club’s activities and operations, review the work of the past year, and deal with the formal business required to keep HARC operating properly.

The meeting also gives members an opportunity to ask questions, hear about plans for the year ahead, and participate directly in decisions affecting the club.

Annual and Special Meeting

This year’s meeting is both an Annual Meeting and a Special Meeting. In addition to the regular AGM business, members will be asked to consider an extraordinary resolution. The formal notice sent to members contains the full wording and supporting information so everyone has an opportunity to review it before the meeting.

Board Elections

The AGM is also where the club confirms its leadership for the coming year. Depending on the nominations received and the positions to be filled, members may be asked to vote in the election of directors.

Serving on the Board is one of the ways members can directly contribute to the future of HARC, but you do not need to be on the Board to have a voice. Attending and voting at the AGM is an important part of club membership.

Attend in Person or Online

The meeting will take place at St. Paul’s United Church, 42 Tragina Ave N, Hamilton. Members will also have the option to participate electronically through Microsoft Teams.

If you are attending online, we recommend joining a few minutes early so you have time to make sure your audio is working before the meeting begins.

You Do Not Need to Know Parliamentary Procedure

HARC conducts its formal meetings using established meeting procedures, but members should not feel intimidated by that. You do not need to be an expert in Robert’s Rules of Order to participate.

If you want to ask a question, make a comment or participate in a vote, the Chair will help guide the process.

Why Attend?

The AGM is ultimately about the members. It is your opportunity to learn more about the club, hear what has been happening behind the scenes, participate in important decisions and help set the direction for another year of amateur radio in Hamilton.

We hope to see a strong turnout on October 22, whether you join us in person or online.
